Location Hire at Gyllyngvase Beach

 

Wonderfully positioned for panoramic views of the Lizard Peninsula and overlooked by the imposing Pendennis Castle, Gyllyngvase Beach is a 2024 Blue Flag winner, heralded as one of the best beaches in the UK.

Gylly Beach is, and always will be, a free and open space for everyone to enjoy. However, as tenants of Gylly Beach, we must ensure all location hire and event requests go through an application process to ensure they are suitable and respectful of this shared space.

If you’re considering Gylly Beach for your next event or film location, read more below.

Step 1

 

Please ensure you are able to meet the following criteria ahead of submitting any requests to use Gyllyngvase Beach for your event:

All requests to use Gylly Beach should be emailed to events@gyllybeach.com a minimum of 6 weeks prior to any event.

Event Criteria

Please note, all organised events on the beach should have a community/charity focus and be related to water/beach activities.

In order for us to allow an event to go ahead, you must send us the following documents with your request:

Event Overview

Including dates, timings, expected numbers and any other relevant information.

Risk Assessment

Highlighting any risks associated with your event and the safety measures you will put in place.

Water Safety Provision

This must be included in any risk assessment where the event takes place on the water. This could include engaging with the lifeguards, hiring your own accredited safety team/safety boats, employing your own lifeguards to provide shore cover, etc.

Certificates for Qualified Personnel Responsible for Safety

Relevant to the event – Fire wardens, first aiders, lifeguards, etc.

Public Liability Insurance

Minimum cover of £5 million

Restrictions

 

Due to Gylly Beach having a number of catering outlets, it would only be in exceptional circumstances that we would permit any event to include the sale food or drink – this would require separate negotiation and consideration around what products are stocked.

There are a number of beach bylaws which must be observed to protect the accessibility, atmosphere and usability of the beach and keeping it as a space for all to enjoy. With this in mind, permission won’t be granted for the following activities:

  • Live or recorded music

  • Erecting any structure considered to be more than a temporary gazebo

  • Vehicles on the beach

  • Any activity which blocks access to the beach or interferes with public enjoyment.

Step 2

 

Once all of the information from Step 1 has been received and confirmation has been given by the Gylly Beach management, an Event Notice Request can be submitted to Cornwall Council.

Tell Cornwall Council about your event

The Event Notice is circulated to our stakeholders who have 10 days to raise any concerns or objections. Any concerns must be satisfied ahead of permission being granted.

Step 3

 

Once permission has been granted, the booking can be secured with a pre-payment. Examples of costs are listed below, however each event will be reviewed on an individual basis:

From £250 per day - For ‘Not for Profit Event’ i.e. charity fundraisers or awareness days. Maximum of 500 people. (This fee will contribute to the costs of the administrative process to validate event suitability, risk assessments, communications and insurances that we are required to process)

From £500 per day - Any event used for commercial gain, e.g. TV filming, paid entry sports events. Maximum 500 people.

From £1,000 per day - Any event used for commercial gain that expects an attendance of between 501 – 1000 people.

Important Note

 

If at any point during the booking process your event is failing to meet the minimum safety requirements or does not comply with beach byelaws, Gylly Beach Café reserves the right to withdraw any event request at any stage of the proceedings.

If on the day an event is found not be operating within the agreed health & safety and byelaw requirements, Gylly Beach Café will cancel the event. No refunds will be given.

As tenants of the beach, Gylly Beach Café has a legal obligation to ensure all compliance paperwork is in place, however all liability, responsibility and accountability of the event sits with the event organisers on the day.
